The Kaplan Educational Foundation is seeking temporary support to aid in its annual admissions applications processing for the Kaplan Leadership Program. The Kaplan Leadership Program helps high-potential students in 2-year colleges in New York City earn associate’s degrees and transfer to, and complete, bachelor’s degree programs. The Program provides scholarships in addition to non-financial academic support and leadership development.The temporary Administrative Assistant will be based in New York City and provide support to the Kaplan Leadership Program. S/he will take primary responsibility for administrative components critical to the smooth processing of the candidate selection process, including the application review and interview processes. Candidates must be in New York City. The position will last for a minimum of 10 to 12 weeks and maybe extended. The position may require after hours work and candidates must be available in these instances. If the business need warrants, this temporary support person may become permanent. As a result, candidates open to a long term position will be given priority.Responsibilities:•Input and maintain application submission database used to track receipt of application components•Organize and maintain hardcopy files of applications•Update and send application submission status emails to candidates •Respond to application-related phone and email queries from applicants and those submitting letters of reference •Manage the distribution of applicants’ transcripts to evaluator•Manage the distribution of applications to reviewers and interviewers•Schedule candidate interviews, including coordinating interviewers’ interview schedules•Escort interviewees between interviews and when entering and leaving our offices•Identify and reserve conference rooms for interviews•Provide other administrative support, as needed
Requirements: •Minimum of a bachelor’s degree•2+ years of work experience providing administrative or other professional support•Philanthropic, non-profit or higher ed experience is preferred•Project coordination or management experience is a plus•Familiarity with Microsoft Office, especially Microsoft Word and Excel•Have excellent organizational skills and be detail oriented•The ability to prioritize and handle numerous tasks simultaneously•Demonstrate well established business writing skills and other communication skills•A pleasant attitude, superior interpersonal skills, and a professional working manner are critical•Proven success working with people from diverse backgrounds•The ability to work in a team environment and as an individual contributor•Demonstrable entrepreneurial spirit and an appetite for rapid change•Passion for the Kaplan Educational Foundation’s mission
